Share, duplicate, or move a form
Updated yesterday
Choose how to get a form to someone else based on what you actually want: distribute the existing form to respondents, create a copy you can edit, reorganize it into another workspace, or hand over the whole account. Public sharing, Duplicate, workspace moves, and account transfer each solve a different problem, and regular users cannot copy a form directly between separate accounts.
Which option should I use?
Match your goal to the action. The table compares the four ways to share, copy, move, or transfer a form.
Your goal | Use this | What happens |
|---|---|---|
Let people fill out a form you built | Share the public link | Respondents open the existing published form; nothing is copied. |
Create a fresh copy to edit or reuse | Duplicate | A new form is created in your current workspace; submissions and integrations are not copied. |
Organize an existing form under another workspace you belong to | Move to another workspace | The form's workspace changes; Google Sheets connections may be cleared. |
Give a teammate your whole account | Transfer account ownership | Forms, submissions, billing, team, and integrations move with the account. |
Share a public link
Sharing distributes the form you already built β respondents see the live published version, and no copy is created.
Open the form and select Share. On the default Share link tab, copy the public URL or share it directly to Facebook, X (Twitter), LinkedIn, or as a QR code. The form must be published before sharing options appear. For distribution through a website, use the embed options from the same Share tab.
Every form has its own public link. Customize the link title, description, and share preview image from link settings, and use a custom domain for a branded link.
Duplicate a form
Duplicate creates a new copy of a form inside your current workspace so you can edit or reuse it without touching the original.
Open the form card's three-dot menu and select Duplicate.
In the Duplicate this form prompt, keep or change the name (it defaults to the original name plus "Copy").
Select Make a copy. The new form opens in the builder.
The copy carries over your questions, design, variables, hidden fields, and publication state, plus link metadata like the share title, description, and preview image. It does not copy submissions or integrations, and other form settings such as duplicate-submission prevention are not carried over.
Because the copy gets a new link slug, it has its own public form link.
Move a form to another workspace
Move changes which workspace an existing form is organized under, when you want it in a workspace you belong to.
Open the form card's three-dot menu and select Move to another workspace.
In the Select a workspace modal, choose the destination workspace.
Select Move Form β.
The destination must belong to you, and the form must be in your current workspace. A successful move shows Form moved to workspace: <workspace name>. You can select multiple forms and move them together.
Moving a form clears its Google Sheets connection identifiers, so you may need to reconnect Google Sheets after the move. The move is recorded in your activity logs.
Transfer the whole account
Transfer hands over the entire account β forms, submissions, billing, team, and integrations β to a teammate by changing the account email to theirs.
The new owner verifies from their inbox and sets a new password, and the account becomes theirs. The subscription transfers automatically, and you lose access the moment verification completes, so download anything personal first. The destination email must not already belong to an existing Youform account. See Transfer account ownership for the full steps.
Copy a form to a separate account
Regular users cannot copy an individual form directly into a separate account. Duplicate only creates a copy inside your own workspace, and moving only works between workspaces you belong to.
To get a form into another account, either share its public link so the other person can recreate it, or transfer the whole account to that person. The account-level copy action is reserved for support staff and is not available to regular users.
